Export and Logistics Coordinator

With more than 50 countries of export, We are currently looking for a detail-oriented and proactive Export and Logistics Coordinator to join our team. In this role, you will be responsible for handling export logistics, documentation, and coordination with various internal and external stakeholders to ensure the smooth and timely shipment of our products worldwide.

Tasks

As an Export and Logistics Coordinator, your main responsibilities will include:

• Organise and coordinate international sea and air freight export shipments from order confirmation to final delivery.
• Prepare, review and manage all export and shipping documentation, including Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, EUR.1, Health Certificates and other country-specific export documents.
• Prepare and submit export declarations in the ATLAS customs system and ensure compliance with German and international customs regulations.
• Coordinate shipments with European freight forwarders, and customers worldwide.
• Coordinate with suppliers and internal departments during the preparation, production planning and execution of customer orders.
• Monitor vessel schedules, shipment milestones and delivery timelines, proactively resolving transport issues and delays.
• Coordinate customs clearance procedures and ensure compliance with export control regulations and documentary requirements.
• Prepare and review shipping instructions and verify transport documentation prior to dispatch.
• Maintain shipment, customer and export documentation within the ERP system.
• Handle transport-related enquiries, logistics claims and freight discrepancies.
• Work closely with Sales, Production Planning, Finance and external logistics partners to ensure the smooth execution of international customer orders.
• Support the evaluation and implementation of cost-efficient transport solutions together with freight forwarders and logistics partners.
• Organise courier shipments, laboratory samples and maintain sample stock where required.

Requirements

• Completed vocational training in International Trade, Foreign Trade or Freight Forwarding and Logistics or a comparable qualification in international logistics or foreign trade.Proven professional experience in international sea freight export operations.
• Practical experience in preparing export and shipping documentation, including Bills of Lading, Commercial Invoices, Packing Lists, Certificates of Origin, and other export documents.
• Practical experience with export customs procedures and export documentation; experience with the ATLAS customs system, including the preparation and submission of export declarations, is considered a strong advantage.
• Sound knowledge of customs regulations, Incoterms®, and international export procedures.
• Proficiency in Microsoft Office and common freight forwarding and logistics software.
• Very good command of German (written and spoken) is essential, as the role requires regular communication with German customs authorities, Chambers of Commerce, and other public institutions.
• Very good command of written and spoken English.
• Strong organizational skills, attention to detail, excellent communication skills, and the ability to work effectively in a team.
