Germany Plan Approval Centre & Testings Operations Support Advisor

RINA is currently recruiting for a Germany Plan Approval Centre & Testings Operations Support Advisor to join its office in Hamburg within the North Europe Marine Division.​

Mission

An Operations Support Advisor with a focus on managing administrative tasks from the Contract advancement monitoring to the issuance of invoices plays a crucial role in ensuring smooth customer interactions and efficient business operations. #LI-DP1

Key Accountabilities

• Create, maintain, and update accurate customer records in the database and CRM system.
• Assist customers with account information, updates, and basic inquiries.
• Prepare contract documentation, including terms, offer calculations, and special agreements.
• Gather, process, and maintain accurate contract, invoice, and customer documentation, ensuring compliance with company policies and organized record keeping.
• Support contract management by coordinating approvals, communicating with internal teams and customers, and ensuring adherence to company guidelines.
• Generate accurate and timely invoices using the RINA invoicing system, verify billing details, and resolve discrepancies.
• Provide customer support for contract, invoicing, and billing-related issues, ensuring prompt resolution.
• Perform general office administration and administrative support tasks.
  

Education

High School Diploma/GED in Business Administration Finance Management

Qualifications

• 1-3 years of experience in contract administration, invoicing, customer data management, business support, customer service, or a similar administrative or operational support role.
• Fluency in German and English, both written and spoken ( mandatory)
• Good organizational skills and attention to detail.
• Strong communication and teamwork skills.
• Ability to manage multiple tasks and meet deadlines.
• Good computer skills, including Microsoft Office, with the ability to learn and use CRM systems and other business applications.
• Ability to accurately maintain and update customer and operational data.
• Ability to follow processes and maintain accurate documentation.
• Problem-solving mindset with a proactive approach.
• Customer-focused attitude.
• Willingness to learn and develop new skills.
